The ShiftPilot AI dealership operating system

ShiftPilot AI is an AI-powered dealership operating system — a controlled operating layer that connects dealership CRM, inventory, deal desk and finance-readiness, document and e-sign, service, and communications workflows in one place, with AI assistance that stays under human review. This page lists the capability areas that exist in the product today, and states plainly which of them depend on an outside provider.

Capability areas

CRM and lead management
Leads, sources, ownership, and follow-up cadences in one worklist, so nothing sits unworked.
Customer 360
A single customer record combining contact details, vehicles, deals, service history, and communication history.
Follow-up, tasks and workflows
Structured next steps with owners and due dates, so accountability is visible instead of assumed.
Inventory intelligence
Vehicle records, aging and turn visibility, and merchandising workflows. Third-party market valuation feeds require a provider agreement.
Deal desk and finance readiness
Deal structure, numbers, checklists, and document readiness. Credit pulls, lender decisions, and DMV submission are integration-dependent and are not performed by ShiftPilot AI on its own.
Documents and e-sign workflows
Document packets, signer links, and an evidence trail. External e-sign providers require configuration and approval.
Service inspections and operations
Service estimates, inspections, and advisor workflows with manager visibility.
Communications
Composer, threads, and templates with consent gating. SMS, email, and voice delivery require an approved provider account and configuration.
Manager controls and reporting
Role-based access, approval queues, audit logging, and reporting across sales and service.
AI assistance
Drafting, summarizing, prioritizing, and surfacing opportunities. Customer-facing and sensitive actions are proposed, then approved by a person.
Integration readiness
Connector configuration surfaces. Any external system connection depends on provider credentials, contracts, and approval.

How the pieces fit together

A lead arrives and lands on a customer record. Follow-up tasks are created with an owner and a due date. When the conversation turns into a deal, the deal desk holds the structure and the finance-readiness checklist. Documents and signer packets attach to the same record. If the customer comes back for service, the advisor sees the same history. Managers see the whole board, plus what is overdue.

Because it is one record rather than several exported copies, reporting reflects the same facts the floor is working from.

Integration status, stated honestly

ShiftPilot AI is integration-ready rather than pre-connected. Message delivery, credit and lender workflows, DMV submission, DMS synchronization, market valuation data, payment processing, ad publishing, and external e-sign all depend on the dealership holding the relevant provider account, contract, and approvals. Until those are configured, the related surfaces are inert rather than simulated.

Financial figures shown inside the product are estimates for internal planning until confirmed by a lender or by the dealership.

Controls and governance

Access is role-based, each dealership's data is isolated at the database level, and sensitive actions are recorded in an append-only audit log. Details are on the security page and the trust center.

The AI layer is described on dealership AI, and role-level examples are on use cases.
